OHSVCA Membership

What types of membership are available in the OHSVCA?

1. There are four types of memberships: active, associate, lifetime and honorary.
**Lifetime Membership status will no longer be available after December 31, 2009. Any current Lifetime Member (as of December 31, 2009) will maintain their lifetime status.
2. Coaches should check the OHSVCA website under Constitution and Bylaws for more information about these types of memberships.

How does a coach become a member of the OHSVCA?

1. The cost of an active membership or associate memberships is $25 a year. Currently, the OHSVCA accepts cash, check, Visa, Mastercard, and Discover.
2. Open enrollment for a coach to become an active or associate member is from May 1 through September 30. Any coach wishing to be an active member after September 30 will be assessed a $100 late fee and will be considered a member through the current membership year.
3. Coaches can check the OHSVCA website home page under How to Join for registration forms. Registration is only accepted online.

What does an OHSVCA member do if his/her contact information changes?

The OHSVCA member must contact the membership coordinator immediately with the new information. The email of the membership coordinator is available on the “Contact” section of the website.

How does person check his/her membership status?

The person can check the OHSVCA website under the "About" tab. If he/she has any question he/she should immediately contact the membership coordinator. The email of the membership coordinator is available on the “Contact” section of the website.

OHSVCA Top Twenty Team Poll

How are the Top Twenty teams selected?

1. OHSVCA poll voters vote for the top ten teams in their division on a weekly basis. Points will be awarded for each vote received. The #1 vote is worth 10 points; the #2 vote is worth 9 points and so on with the #10 vote being worth 1 point.
2. Teams should have their schedule posted, and scores updated on the results page if they wish to be considered for the OHSVCA top twenty polls.

How is the OHSVCA team poll champion decided?

The poll champion team is determined by the highest finish in the final week of the poll.

What does the OHSVCA team poll champion receive?

The poll champion team will receive an award presented prior to the OHSVCA All-Star match.

OHSVCA Poll Voting

What is a coach’s role and responsibility as an OHSVCA poll voting coach?

1. The coach should use the results page as well as other media outlets such as MaxPreps to access information on teams in their division. 
2. The coach must vote for the team poll on time (Check Website for Voting Dates and Times). 

When does an OHSVCA poll voter vote?

1. Voting begins the third week of the OHSAA season.
2. Voting is open from Friday until Sunday – Specific dates and time are announced on website.

How does a coach become an OHSVCA poll voter?

1. A coach must be an active member of the OHSVCA at an OHSAA member school of the OHSAA sanctioned sport of girls’ volleyball.

How does a coach remain an OHSVCA poll voter in good standing?

1. A coach must be the head coach of their school and have voted by the designate time on the website five out of six weeks.

What are the OHSVCA poll voting requirements & what happens if a poll voting coach does not meet them?

1. The coach must vote for the team poll by the designated time on the website five out of six weeks to remain in good standing. The coach is then eligible to vote for All-Ohio players.
2. If the coach votes less than five times for the team poll by the designated time on the website, the coach is not eligible to vote for All-Ohio players and will not remain a poll voter in good standing.

OHSVCA All-Ohio Selections

How are All-Ohio player selected?

1. A player’s varsity head coach that is an active member in good standing must first register with MaxPreps (www.maxpreps.com). Second the coach or designee must post match by match stats for the team on MaxPreps. Lastly the head coach can then nominate a player from the MaxPreps website during the nomination period. The nomination period will be announced on the OHSVCA website. Coaches MAY NOT send out a printed nomination form to poll voters via mail, fax, etc.
2. Poll voters in good standing have access to the nominations and vote for the top 15 players within his/her division during the designated time on the website.
3. Points will be awarded for each vote received. The #1 vote is worth 15 points; the #2 vote is worth 14 points and so on with the #15 vote being worth 1 point.
4.The top eight vote getters and ties receive first team All-Ohio honors. Next eight vote getters and ties receive second team All-Ohio honors. Next eight vote getters and ties receive third team All-Ohio honors. Up to twelve of the next top vote getters and ties may receive honorable mention All-Ohio honors.

What does an All-Ohio player receive?

An All-Ohio player will receive an award presented prior to the OHSVCA All-Star match.

How are All-Ohio coaches selected?

1.Poll voters in good standing vote for the top 2 coaches within his/her division when voting for All-Ohio players during the time designated on the website. Points will be awarded for each vote received. The #1 vote is worth 3 points; the #2 vote is worth 1 point.
2. The top vote getter is named Coach of the Year. Other coaches receiving votes will be considered for the Coach’s Achievement Award. What does an All-Ohio coach receive? An All-Ohio coach will receive an award presented prior to the OHSVCA All-Star match.

When are All-Ohio selections released to the media?

All-Ohio selections may be posted on the OHSVCA website under the "Awards" tab  the Sunday prior to the OHSAA state volleyball tournament. Selections are released to the Associated Press for publication the Monday prior to the OHSAA state volleyball tournament.

OHSVCA All-Star Match

When is the OHSVCA All-star match weekend?

The All-star weekend takes place the Saturday and Sunday after the OHSAA state volleyball championship.
1. All-star matches teams practice Saturday afternoon.
2. A banquet in honor of the all-star players and coaches is held Saturday evening. Hall of Fame inductees, Lifetime Acheivement Award recipients and the Sportsmanship, Ethics and Integrity award winners are also recognized.
3. All-Ohio players and coaches, media award winners, and poll champions are recognized prior to the All-star match on Sunday
4. The all-star match is played Sunday afternoon based on the order of play in the OHSAA state tournament.

How are players selected to play in the OHSVCA All-star match?

1. Twenty players are selected to play in the All-star match from each division. Players are divided into two teams of ten players.
2. Each district may choose a representative from each division to play in the All-star match. An All-Star match participant is NOT necessarily an All-Ohio award winner; she is the district representative.
3. If a district does not have a representative, then that spot is filled by an At-large selection.
4. At-large players are selected from senior All-Ohio players in order of highest votes received and positions needed.
5. The coach MUST be an active member of the OHSVCA at an OHSAA member school of the OHSAA sanctioned sport of girls’ volleyball in order for the player to participate in the All-Star match. A coach of a girls’ OHSVCA State All-Star Match participant must have joined the OHSVCA by September 30 in order for the coach’s athlete to be eligible to participate in that match. If a coach is not a member by September 30, the player may still participate in the State All-Star Match if the coach
joins and pays the appropriate late fee.

What forms must players complete to practice and play in the OHSVCA All-Star match?

1. Forms may be found on the ohsvca.org website under “Forms” or “Events - All-star match.”
2. Completed forms must be turned in prior to Saturday practice.
3. Forms include:

  • A. OHSAA physical form
  • B. OHSVCA Emergency Medical Authorization

3.The coach must be an active member in order to coach in the All-Star match. A coach must have joined the OHSVCA by September 30 in order to be eligible to coach in that match. If a coach is not a member by September 30, the coach may still coach in the State All-Star Match if the coach joins and pays the appropriate late fee..

OHSVCA Academic Awards

How are OHSVCA individual academic award winners selected?

1. Any individual volleyball varsity letter winner that has a 3.500 or higher cumulative GPA is eligible for this award.
2.The coach must be an active member of the OHSVCA at an OHSAA member school of the OHSAA sanctioned sport of girls’ volleyball and must submit the completed form to the OHSVCA Vice-President during the nomination period. The coach, principal and guidance counselor must sign the form. An individual scholar-athlete form must be properly filled out even if the team qualifies for the team award.
3. Forms must be typed and postmarked by February 28 in order to qualify.
4. The coach must include all grades earned (including semester exams) when figuring each player’s GPA. Seniors will have 7 semesters of grades/exams, juniors 5 semesters of grades/exams, sophomores 3 semesters of grades/exams, and freshmen 1 semester of grades/exams. Weighted grades are allowed. Carry GPAs out 3 decimal places. Do not round up.
5.Three-year high schools (grades 10-12) are to include their player’s grades from the 9th grade.

What does an OHSVCA individual academic award winner receive?

The coach of an OHSVCA individual academic award winner will receive the award in the mail in March or April.

At what level does the OHSVCA recognize team academic awards?

1. The OHSVCA recognizes qualifying teams at the varsity, junior varsity, freshmen, and junior high/middle school levels.
2. The coach must be an active member of the OHSVCA and must submit the completed form to the OHSVCA Vice-President during the nomination period. There is a different form for the varsity level, junior varsity/freshmen level, and junior high/middle school level.

How are OHSVCA team academic award winners selected?

OHSVCA Scholarships

What scholarships does the OHSVCA award?

1. The OHSVCA awards a $500.00 scholarship to an OHSVCA active member’s son or daughter planning on furthering his/her education after high school graduation. **Please note: Up To Four scholarships will be awarded if there are an adequate number of qualified applicants to so warrant.
2. The OHSVCA also awards $500.00 girls volleyball player scholarship to someone planning on furthering her education after high school graduation. **Please note: One scholarship will be awarded to a player in each division (I, II, III, IV) if there are an adequate number of qualified applicants to so warrant.

What are the eligibility requirements for the active member’s son/Daughter scholarship?

1. Applicant must be a current high school candidate for graduation.
2. Applicant must have all basic credits for college or proper vocational or technical school entrance.
3. Applications for the scholarship must be submitted (typed) to the OHSVCA Vice-President postmarked by February 28. Applications can be found under awards or forms on the OHSVCA website.
4.The student’s parent, step-parent or legal guardian must be an active member of the OHSVCA at an OHSAA member school of the OHSAA sanctioned sport of girls’ volleyball for at least five consecutive years. One photograph of the applicant should accompany the application and will not be returned.
5. An essay is to be included with the application. On a separate sheet of paper, describe the positive benefits of having a parent that coaches interscholastic athletics and how these aspects will impact your future. The response should be one typed page, double spaced using a 12 font.

How are the active member’s son / Daughter scholarship judged?

Applications will be reviewed by a scholarship committee made up of the Executive Committee. Each applicant will be judged on scholastic record, personal achievement, and school and community activities. The Executive Committee will nominate the top five candidates at the Spring District Trustees Meeting. After reading each application, the president will ask for a vote on the nominees. Voting will be done by written ballot. All trustees will vote for the first scholarship. In the case that a district trustee (or president) is a family member of one of the applicants, the district trustee (or president) will disqualify him/herself from the selection process. If there is a two-way tie, both nominees are declared winners. The process repeats itself to determine the winner of the second scholarship. If there is a tie to determine the winner of the second scholarship, the president will have the power to call for a second vote or break the tie himself. If there are two identical ballots, the
president will break the tie. The OHSVCA Player Scholarship will be selected first followed by the OHSVCA Active Member’s Son / Daughter Scholarship. If eligible, a student-athlete may apply for both but may receive only one award.

When will the active member’s son / Daughter scholarship winner receive his/her award?

The recipients will be notified by the vice-president. Once proof of college attendance is shown to the Treasurer, the award winner will receive his / her award in one payment. If for any reason a nominee is unable to accept the scholarship, it will be awarded to the person with the next highest number of votes.Press releases will be made to each recipient's local newspaper, the OHSAA's "Athlete," the OHSVCA website, and any other appropriate publications.

OHSVCA Coaches Milestone Awards

What milestones do the OHSVCA recognize with awards?

The OHSVCA recognizes active members with awards at 100 wins, 200 wins, 300 wins, 400 wins, 500 wins and every 100 wins thereafter.

What are the requirements for an OHSVCA milestone award?

1. A coach must be an active member of the OHSVCA at an OHSAA member school of the OHSAA sanctioned sport of girls’ volleyball.
2. Wins are recognized at all levels of coaching. However, wins may NOT be combined. (For example, 25 wins at the JV level and 75 wins at the V level cannot be combined for a 100 win award.)
3. The coach must properly fill out a milestone award form, verified by a school administrator, and submit it to the Awards Coordinator postmarked by February 28.

When does an OHSVCA milestone award winner receive his/her award?

An OHSVCA milestone award coach will receive an award presented at the OHSVCA clinic.

OHSVCA Lifetime Achievement Award

How are Lifetime Achievement Award nominated?

1. The official nomination form must be postmarked to the Vice-President by February 28.
2. The OHSVCA nomination form must be submitted by an active OHSVCA member.

What are the criteria for the Lifetime Achievement Award?

 The individual must have been actively involved in volleyball at any level for at least twenty years and during that time worked to promote and maintain the highest possible standards in girls’ volleyball in the state of Ohio.

How is Lifetime Achievement Award winners selected?

1.Nomination forms will be presented at the spring meeting of the OHSVCA trustees.
2.There shall be no weight given to classification (A, AA, AAA or Division I, II, III, IV) in which the candidate has coached. There shall NOT be a distinction between head coaching and other levels of coaching.
3.Method of Voting:

OHSVCA Hall of Fame

How is the Hall of Fame Award nominated?

1.The official nomination form must be submitted to a district trustee postmarked by February 28 to be presented at the spring meeting of the OHSVCA trustees.
2. Each committee may make one nomination. Committees are grouped according to district number 1 -4, 5-8, 9-12, and 13-16. The President may make an "at large" nomination.

What are the criteria for Hall of Fame Induction?

1. The individual must meet 2 out of the 3 criteria to be nominated:

  1. Must have been a high school girl’s varsity volleyball coach for at least five years in Ohio.
  2. Must have been a high school or junior high girls coach for a total of ten years in Ohio.
  3. Must have been active in the growth or development of girls’ volleyball in Ohio.

2. This award is NOT for Lifetime Achievement Award candidates. An individual may be inducted into the Hall of Fame or receive the Lifetime Achievement Award but not both.

How is Hall of Fame winners selected?

1. Nomination forms will be presented at the spring meeting of the OHSVCA trustees.

What is a district trustee?

The State of Ohio is divided into sixteen (16) geographical districts. Each geographical district shall be entitled to selects one representative to serve as a member of the Board of District Trustees.

What are the duties of a district trustee?

1. A district trustee attends all OHSVCA meetings and assists with OHSVCA functions including the clinic, hospitality room at the OHSAA state tournament and OHSVCA All Star weekend.
2. A district trustee is the district representative to the OHSVCA meetings:

  1. Vote on the business of the agenda
  2. Voice districts concerns and suggestions to the OHSVCA
  3. Report OHSVCA decisions and discussions to the district

1. The junior high middle school coordinator attends all OHSVCA meetings and assists with junior high portion of the OHSVCA clinic.
2. The junior high middle school coordinator is the junior high/middle school representative to the OHSVCA meetings:

  2. Voice districts junior high/middle school concerns and suggestions to the OHSVCA

How is the junior high/middle school coordinator selected?

1. The junior high middle school coordinator must be an active member of the OHSVCA at an OHSAA member school of the OHSAA sanctioned sport of girls’ volleyball.

What offices are held within the OHSVCA?

The elected officers consist of a President, Vice-President, Treasurer, and Recording Secretary. In addition, the immediate past President shall serve as an ex-officio officer.

What are the duties of an officer?

1. An officer attends all OHSVCA meetings and assists with OHSVCA functions including the clinic, hospitality room at the OHSAA state tournament and OHSVCA All-Star weekend.

How is an officer elected?

1. Officers serve a two-year term. The offices of president and treasurer are elected in even-numbered years; the offices of vice-president and secretary are elected in odd-numbered years.
